  1. Executive Assistant of Finance

Position Title: Executive Assistant (to the Executive Director of Finance)

Reports to: Executive Director of Finance

Position Type: Part-time (Up to 15 hours/per week)

Position Starts: 20 th April 2025 (Runs for next 3 semesters)

Location: 216 Prince Phillip Drive St. John's, NL

Key Responsibilities:

1. Administrative Support:

o Provide comprehensive administrative assistance to the Executive Director of

Finance, including scheduling meetings, managing calendars, and coordinating

travel arrangements.

o Prepare, edit, and distribute meeting agendas, minutes, and other documentation

as needed.

2. Financial Coordination:

o Assist in the preparation and monitoring of budgets, financial reports, and other

fiscal documentation.

o Support the Executive Director in managing financial records, invoices, and

reimbursements.

o Handle confidential financial information with discretion and ensure compliance

with GSU’s financial policies.

3. Communication:

o Act as a liaison between the Executive Director of Finance and other GSU

departments, students, and external stakeholders.

o Draft and proofread official communications, reports, and presentations for

internal and external purposes.

4. Project Management:

o Assist in the planning and execution of various financial projects, including

audits, grant applications, and funding initiatives.

o Coordinate and track the progress of ongoing projects, ensuring timely

completion of tasks and milestones.

o Taking care of all grants application PDG, PMG, SPG and GSDF.

o Steep the payroll account of new students into the banner system. And check the

status of all account with timely follow up

Qualifications:

 A degree or diploma in Business Administration, Accounting, or Finance is preferred.

 Preference will be given to current Memorial University graduate students who have at

least one year remaining in their program.

 Strong organizational skills with the ability to manage multiple tasks simultaneously.

 Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

 Excellent verbal and written communication skills.

 Discretion and confidentiality in handling sensitive information.

 Prior experience in a financial or administrative role is an asset.
